FOR THE CITY COUNCIL CHAMBERS AUDIO VISUAL UPGRADE <br />PROJECT IN THE AMOUNT OF $101,593 <br />Recommendation: Approve <br /> <br />SUMMARY <br /> <br />The City Council Chambers audio visual (“A/V”) equipment used for capturing and <br />transmitting meeting videos to the City’s cable channel (“ACTV”) and website is <br />outdated and in need of upgrade or replacement. The City submitted a Request for <br />Proposals (“RFP”) for qualified vendors to design and install a new A/V system that <br />utilizes current technology to create a more streamlined system for ease of use and to <br />produce a higher quality A/V experience. <br /> <br />It is recommended that the City Council approve, authorize, and direct the City Manager <br />to execute a Professional Services Agreement with Studio Spectrum, Inc. for the City <br />Council Chambers Audio Visual Upgrade Project in the amount of $101,593, including a <br />10% contingency. <br /> <br />BACKGROUND <br /> <br />As part of the City of Arcadia’s commitment to transparency and public access to <br />information, the City has been broadcasting City Council meetings on its public access <br />television channel ACTV since 1997 and has offered live web-streaming of City Council <br />meetings on the City’s website for the past several years. The current A/V system is a <br />combination of equipment that was originally installed in 1997 along with newer <br />modules that have been replaced as the older equipment has failed. This has resulted <br />in an A/V system that is not up-to-date with current technologies. Most significantly, the <br />current equipment is unable to broadcast City Council meetings, along with other City <br />programming, in a high-definition format. <br /> <br />
